Lucidoc Quarterly Email Announcement

If you are having trouble viewing this email, see the web version here.

It's time to share with you our projects for the first quarter of 2025. We have some big changes to announce. Here is what will be released on March 13, 2025.

Reminder: New Lucidoc Home Page Implementation

We would like to remind all organizations to please notify Lucidoc Customer Support ([email protected]) to schedule the onboarding of the new Home page. The new Home page is currently available on the Lucidoc Beta environment for users to review. If your organization has not arranged for access to Beta, Customer Support can assist with that as well. You will need to supply your organization's IP address or CIDR block range to Lucidoc so that we may allowlist them.

Committee Officers Can Make Minutes Public

Some committees—such as a regulated or public organization's Board—may be required to post their meeting minutes where people who have no account in the organization's instance of Lucidoc can review them. We are adding a new committee preference that committee Chairpersons and Secretaries can use to make their committee's Draft or Official minutes available publicly, outside of Lucidoc. If the minutes are in HTML, and they are posted in Draft status, the Draft watermark will be visible to viewers outside the organization's Lucidoc instance as well as to users who have signed into their Lucidoc account.

The preference is a check box labeled Allow committee's official/draft minutes to be public; it appears on the Committee Info page after the Notes. After the Chairperson or Secretary selects the check box and adds a link to the minutes in a public location—such as on the organization's public website—members of the public can review the minutes.

External Approvals Page

Some documents—including contracts but other kinds of documents as well—may need to be approved by users outside your organization and who don't have accounts in your organization's instance of Lucidoc. To aid organizations with this need, we created a new process and page for implementing external approvals through the third-party product DocuSign®.

Before you begin to create an external approval session, you configure recipients by supplying their names, email addresses, and business name(s). Once the recipients are added, you create an external approval session, enter an email subject, select the documents the approval session will contain, and identify recipients who must sign the documents or who only receive carbon copies. All this information is consolidated into an electronic "signature envelope." After you complete the signature envelope, you create the approval session, which opens DocuSign®. You need a DocuSign® account, and you sign into it at this point. In DocuSign®, you confirm the documents and recipients are configured correctly and then follow the DocuSign® steps to complete the process.

Signers receive the document by email in the order you specify and complete the signatures through the email. When an external approval session completes, you see it on the page table as Completed; approval sessions in other statuses are displayed in the table also.

Azure Single Sign-On Additional Features

We are adding functionality that consists of an additional user synchronization process between the Lucidoc application and the Microsoft Azure Enterprise Application Single sign-on feature for customers that choose to use Azure for Single sign-on. The new functionality enables the Lucidoc application to receive updates with certain changes to user accounts in Active Directory, changes to a user's name, and other details in a user's Active Directory account that match the details found in Lucidoc.

The feature includes auto-deactivation of Lucidoc user accounts that have only the Reader privilege and a new user management page where a User Administrator can re-assign responsibilities from deactivated accounts to other users to ensure business continuity.

This new service is not available for customers that have not yet migrated from the legacy Active Directory Bridge Single sign-on on-premises server, or those customers who have not yet configured an Azure Single sign-on application. For those customers, we will configure the user synchronization at the time of initial configuration.
